Group name and Project name in Microsoft Project for the Web

Hi,

as you know, in Microsoft Project for the Web, before you can assign Resource to any Task, you must either create a new Group or use existing one.

Let’s say that I want to create new one.:

As you can see, first of all I should give a name to my Project. If I want to avoid that, I can try to assign a Resource to a Task:

but I will get:

image

So I will create a new one:

image

and I will get:

image

So, the Group is created, and John is in!

Now I will create a new Project, and I will name it My Project:

Because I have named Project, my new Group has a default name which is same as a Project name. Of course, I can rename it:

image

To conclude, if you want to create a new Group for your new Project, you should either give a name to Project, or you should give a name to a Group. If your Project has a name default group name is same as a Project name, and if it doesn’t have a name you can create a new Group via assigning Resource to a Task!

How to copy Tasks or Project in Microsoft Project for the Web

Hi,

Today I will show you how can we copy part of Project or the whole Project in Microsoft Project for the Web.

First I will create a brand new Project:

As you can see, I have schedule, and resources, as well. Now I want Feature 2 with Same Tasks under it. I will select them, and I will right click on it, and choose:

and I will right click on Add new Task and:

and I will get:

image

Here it is. The only thing what I have to do is to rename Feature 1 in Feature 2, and Feature 1 Done to Feature 2 Done. And yes, if there are some other resources who are going to work on those copied Tasks, I can add / replace them as well.

that was all about copying Tasks. But what if I want to copy the whole Project? I can do that as well. Here are the steps:

and I will get:

As you can see, everything is copied except Resources, So I have to assign them. And of course I have to give a name to my new Project.

How to navigate through linked Tasks in Microsoft Project for the Web?

Hi,

today I will show you how to easily jump between Tasks in Microsoft Project for the Web!

First, I will create new Project:

or in Timeline View:

image

Now, I will choose Fifth Task, and I will open Detail Page for it:

As you can see all Tasks on which Fifth Task depends are shown! If I click on  Second Task on the Depends on section:

I will jump straight to it:

image

As you can see you can jump from Task to Task based on their Dependencies! Be aware, that you can jump to the Task’s predecessors (Depends on), and not it’s Successor!

How to add additional comments to Tasks in Microsoft Project for the Web?

Hi,

today I will show you how add a comment to a Task in Microsoft Project for the Web.

I will use example from my last Post:

Now I will choose Foundation, and I will open Detail screen:

and I will get:

image

In this “Note” section I will add a comment:

image

And – that’s all folks. But! In Project desktop version you can see the comment (Note) if you hoover your mouse at info column. this kind of column doesn’t exist here, so you can’t do it. If you want to see if there is a comment (note) at your Task you should open the Detail page.

Equipment as resource in Microsoft Project for the Web

Hi,

in Microsoft Project for the Web we can have human Resources (e.g. people). But what about other Resources. Let’s say that we need Concrete Mixer, when we are building foundations.

I will now create a Simple Project:

I will add few Tasks:

OK, now I need Concrete Mixer. To define it I should go to Dynamics:

and then to Project:

I will choose Resources:

and I will add new one:

Now I will add my Concrete Mixer as Equipment Resource Type:

and, here it is:

Now, back to my Project:

As you can see, I can assign it to a Task.

Now if I look at the Task details, I will get:

As you can see, effort is 24 hours (e.g. 3 days * 8 hours / day = 24 hours). So, Resources with type = Equipment are work resources, like any other human resource. If you are familiar with Project Desktop, or Project Online, than you know there is a Material Resource type (like Bricks, licenses, etc., for example). For now, this Resource type doesn’t exist in Microsoft Project for the Web. But I am sure, that it will be available, as this product grows.

Task Start and Finish time in Microsoft Project for the Web

Hi,

Today I will show you in a short Post how to see at what Time should Task start and when it should ended.

To do that I will create a very simple Project:

or (Timeline View):

Start and Finish dates are visible. But, what about time? To see that, I will hoover my mouse at Start and / or Finish date, and I will see:

As you can see Task 1 should be started at 09:00 AM.

Task 1 should be finished three days later at 05:00 PM.

image

Task 2 should be started at 6/18/2020 at 09:00 AM.

image

You’ve get the point. So Task 2 should be finished at 6/18/2020 at 1:00 PM (four hours later than it should be started, because duration is 4 hours).

Task 3 should be started at 6/18/2020 at 1:00 PM (right after Task 2 should be finished. And finally, Task 3 should be finished at 6/22/2020 at 1:00 PM.

Of course all those values depend on Calendar setup and Work Template setup for the whole Project. But this is part one of my next Posts!

How to find right Project in Microsoft Project for the Web?

Hi,

today I will show you how to find right Project, if you have many of them, using Microsoft Project for the Web!

When I log myself to the Project for the Web I will get next Screen:

In a Recent Tab I will see all projects which are recently opened by me (opened not necessarily created by me). If I choose Shared with me Tab, I will see:

Here I will see all Project which are been created by someone else (in my example it was Ellen), and I am member of the Team, e.g I am member of the Group in that Project.

When I open this project, and after I jump back to Recent Tab I will see that project as well.

In a Created by me TAB, I will see:

Here I will see all Projects which I’ve created!

If I want make some Projects as favorite I can do it only in Recent Tab:

and I will get:

image

This project is now in Favorite area, so I can easy access to it.

Now, if I log in as Ellen I will see in Shared with me Tab:

Obviously she is part of the same two projects as I am. If I open Created by me Tab, I will see:

image

So Ellen has only on Project she had created.

To conclude I can easily  access Projects created by my, or those which Team member I am, in different way.

Task progress with % completeness in Microsoft Project for the Web

Hi,

today I will show you how can you put, and see Task progress using % Completeness in Microsoft Project for the Web!

As always I will first create a simple Project:

as you can see I have Tasks, Resources, and Dependencies. If I look at the Timeline View I will get:

Now let’s say that my Phase 1 is done, and I need to mark all Tasks as 100% completed:

and I will get:

As you can see, % complete for the Phase 1 is calculated as well (it is 10%). If I mark second and third Tasks as 100% completed, I will get:

Phase 1 is 99% completed, because even all Tasks are marked as 100% completed, it is not done, because Milestone is 1% (yes, it is 1% even it has 0 days duration). I will mark it as completed and I will get:

Now, let’s look at the Timeline View:

If I click on the Project name I will get:

Here I can see % Completeness for the whole Project (since it is not possible to see so called “Task 0” in Project for the Web).

Let’s say that Phase 2 is completed as well. I can go and mark each Tasks as 100% completed (and milestone, as well), or I can go to the Summary Task and mark it as 100% completed:

and I will get:

So the shortest way to mark Subtasks as 100% completed is to mark Summary Task as 100% completed.

How to use Office 365 Groups with Microsoft Project for the Web

Hello,

Today I will show you how to use Groups with Microsoft Project for the Web.

First I will create brand new Simple Project:

The Group is needed when I am going to assign First Resource to my Task. Let’s say that I want to assign Ellen to the Task 1:

when I hit Enter I will get:

imageand:

IF I choose to create Group, I will have a brand new one, and it will be used for this Project, and later I can use this group for other Project. Or, when I create another Project, I can create new group for that particular Project, as well.

Now, I write Blog Post very often, and for each Post I create brand new Project, so I do not want to create new Group every time. Instead of that, I will create one group which I will use for every Blog Post.

To do that I will create a group which I will call Blog Post Group:

and:

Now I will add member to this group:

OK! Now I will assign John to Task 1:

and I will get:

image

Jim is not a group member, but I need him for Task 2:

image

When I select him, I will get:

image

and now he is also part of the group. So, I can add additional member to my group anytime I need it.

Now, I am going to create new Project, called: Second Project:

and I am going to use Blog Post Group:

image

Now, all group member are available:

image

To conclude, I can create a group for my Project, and use it for that particular project only, or for any further project in a future. Or, I could have Group created somewhere else (for example in my Admin center, or in Teams, or in Planner…), and use it for my Project.

It’s up to you how many groups you will have.

Task Filters in Microsoft Project for the Web

Hello,

today I will show you how can you filter Tasks in the Microsoft Project for the Web, and on what can you apply filter.

As always, I will first create new Project:

If I look at the Timeline View, I will see:

Please, do not laugh, I am not good at construction, so if something seems ridiculous, it is because I’m IT guy, and I never built anything Smile.

In  Board View I did some modification, like this:

All tasks are in some column: Walls, Carpets, Air Conditions, Furniture, Roof, Milestones.

If I was building a skyscraper I will have thousands Tasks, and it might be difficult to go up and down to search some specific Task. BUT! I have a filter in a grid View:

Let’s say that I want to see all Milestones. In a filter I will write Milestone, and I will get:

So, now I have all Tasks from Milestones bucket.

Now I want to see all Tasks assigned to Ellen. In the same field I will type: Elle, and I will get:

So, now I have all Tasks assigned to Ellen.

And last, but not least, I want to see all Tasks which has The in its names (no matter if name Start with The, or not:

So, I have all Tasks with the word The!

To conclude, I can use Filter in Project for the Web for:

  • Task Names
  • Bucket Names
  • Resource Names

and no matter what I type I will get all Tasks within that criteria.

To show you that I will rename Milestone from Ground floor done, to Ellen done. Now if I put Elle in a filter I will get:

Now, according to Elle filter criteria, I have all Tasks, Buckets and Resource with the word Elle.
