Setting Up Resources in MS PROJECT 2010! Budget Resource, and Detailed Resource information!

 

Hi,

If you have a Budget for your project you can work with it in MS PROJECT 2010. Frankly, the solution with the Budget in MS PROJECT 2010 is not something what make me happy. I think that it could, and should be much better than it is now. But, until next version of MS PROJECT, I will explain how can you work with those resources.

First of all, when you have a Budget Resource, make sure that you put the different name convention to that resource (use UPER CASE, or prefix like B-). Let say that we have four budgeted Resources for our Project:

As you can see, two of them are Work type Resources, one is Material type, and one is Cost type. I also put for Work and Material resources Standard rate! But, I know what would you ask! How MS PROJECT 2010 knows that those Resources are Budget type? Obviously not by the B- prefix. Well IT DOES NOT KNOW until you tell it that those are Budget type. Double click on each of Resource for which you want to become a Budget and check:

After you check all your Budget Resources you will get:

As you can see, Max units, and Standard rate are empty now! Why? Because you do not need them. You will assign cost for those budgeted resources to the resources through Task and/or Resource usage Views. When we get to the point where I will Set up a Budget I will show you how can you do it! For now Remember that you can’t assign Budgeted Resources to anything else then PROJECT SUMMARY TASK. That means that if you have budget for one, particular, Task you can not assign that budget to that task, but rather to a project as a whole, and that is something I am not happy about. I will write about this when I come to the Assigning Resources to the Tasks!

If you want to add some additional information for your Resource (like windows account, Email, note, or hyperlink, you can do it very easy.

You can double click on your Resource name, or you can go to the Resource information through Resource Tab:

and You will get:

I put my email address, and Windows Account. That was in General TAB. If I want put some note about Resource I can do it through Notes Tab:

If you want to add a hyperlink to the Resource you can do it like this:

After that you can enter the Hyperlink:

After that you will see Indicator right from the Resource:

Rest your mouse pointer at the Indicator field and you will see:

If you want to open the hyperlink, right click to the Indicator field and then follow this:

Dear fellows that was all of the easy part of Resource. From my next post I will start with Assigning Resources to the Tasks! It will take me some time and posts but those are almost the most significant things to remember If you want to understand the logic of MS PROJECT 2010.

      also you may found this useful, that is the definition of this kind of costs that has been defined by Microsoft itself:

      Budget Resource: A budget resource captures the maximum capacity for a project to consume money, work, or material units for a project. Budgets can only be applied at the project level by assigning a budget resource to the project summary task.

    I am not sure how useful the budget resource feature is. In my mind the budget is set with the baseline. I know that I am missing something but can’t figure out what. What is difference here, and how does it affect Earned Value calculations? Please help.

      Budgeted Resources are, from my point of view, useless. And those are not consiedered while calculating EVM!

        What is maximum number of budget resources per project?
        Sorry Nenad 😦 but I have to disagree. We found them very useful when calculating income on the project.

        You can use them for income, of xourse. But for other things there are more or less poor!
