Teams in MS PROJECT SERVER 2010

Hi,

In this Post, I will show you how to create teams in MS PROJECT SERVER 2010. If you red my previous Posts, you have noticed that, for example, RSB lookup field it is built in RBS lookup table in MS PROJECT 2010. But, for the built in Team Name custom field, there is no built in Team Name or any other lookup table!

Where is the Team Name custom field?

Here:

and then:

Here it is:

Notice, there is no such a thing like a Team Name lookup table.

When I click on Team Name, lookup table:

There is no Lookup Table for this field.

I will now create Teams lookup table with simple values:

  • Sap Developers
  • Sap Consultants
  • NAV Developers
  • NAV Consultants
  • MS Project Developers
  • MS Project Consultants

and then:

Now I have this custom lookup table, and I have to assign it to the Team Name lookup table:

I will get:

and:

I want to be able to use this field for generic resources, as well!

Finally, I am going to assign some Team values to my resources:

and finally:

What is Team Assignment Pool? By selecting the Team Assignment Pool check box, you enable other users on the MS Project Consultants team to see any tasks assigned to the Development resource and to accept the assignments in PWA!

    Hi Nenad,
first of all, thank you for the good post – I mean it.
and youre still on vacation. – but I hope you’ll reply this soon 🙂

    here is my situation:
    1. I have two custom fields named “Team Name” and “Team Name 2”
    2. “Team Name” connected to “Team Member Sample” -> a lookup table I made consist of 2 items: EPM Team and Sharepoint Team
    3. “Team Name 2” connected to “Team Member Sample 2” -> a lookup table I made consist of 2 items: Consultant and Engineer
    4. I followed your steps above, editing a user and assign him to an Team Assignment Pool, and I found EPM Team and Sharepoint Team. (I dnt find Consultant and Engineer there).
I found a silly way to show the Consultant and Engineer which is by editing/adding Consultant and Engineer to the lookup table “Team Member Sample”.

    and here are the Questions:
    1. is there any other way to add/show Consultant and Engineer beside editing “Team Member Sample” table?
    2. is the name of the custom field must be “Team Name” to be able to detected by the Team Assignment Pool?

    Sorry for the long post.

    Regards,

    Boyke

If you want to use Engineers and Consultants, they can be part of any team! for that, do not use Team Member 2 field, but use RBS instead!

  2. Gary Fonseca says:

Hi Nenad, this post seems to be really helpful, just one question, I followed all the steps and everything seems to be correct, but I can’t find the Teams on resources to assign work for them, any thoughts on what may be missing?

    • Nenad Trajkovski says:

I’ll answer after 26.08, because I’m at Vacation ’till them! Is it OK with you?

      • garyfonseca says:

Hi Nenad! of course I didn’t want to bother you on your Vacation… I already found out that I have to create a Generic Resource as the team, what I’m not sure about is if I assign a task to that Team(generic resource) if some member of that same team can just go and take one of that tasks just by assigning that resource.

I’ll appreciate any help when you get back! enjoy!

      • Nenad Trajkovski says:

You can then change one resource with another! As simple as that 🙂

  3. Erik says:

Hi Nenad, thanks for a great blog.
I followed the steps above. I assigned a task to the team lead, and then when I entered with a team membered in the PWA, I could find and claim the task for that user. I then entered as Project Manager and approved the team members claiming of the task.

However when I examine the plan i Project PRO I see that the task is assigned to both the team lead (generic resource) and the team member. That is ok I guess, so more team memeber also can find the task.

What confuses med is the way project split the work between the thwo resources. Team lead got on hour, and team member got 15 out ouf 16hours. Why?

    Cheers

    • Nenad Trajkovski says:

I really do not know! 😦

      • Erik Jungnelius says:

Ok, no worries, I´ll try to ask around. But do you know what is supposed to happen? Should all work get assigned to the non generic resource, and the generic is still assigned to the task?
And can other non generic resources also claim the task?
        BR
        Erik

      • Nenad Trajkovski says:

You can assign work to generic or non generic resources with no problem!

  4. Andy says:

    Hi Nenad,
I am very new to Project Server so I might not even be able to ask things properly, but I’ll try. Are Teams and Groups the same thing? If not, what are the differences?

Also, I’m trying to add an Active Directory Group as a new User on Project Server… is that even possible? Thank you so much in advance! You are a really great teacher!!

    Andy

    • Nenad Trajkovski says:

      Hi,

You can read about groups and categories in my posts! Teams are not the same as a groups! Teams are bunch of people who can work on the same tasks (if there are set like that) and can share tasks betwen them! I will write about teams sometime in August!
Yes you can add users from AD in your project server as Resources. I will write about that too.

Thank you for reading my Blog!

      Regards,
      Nenad

      • Andy says:

Thanks for your Answer Nenad. I guess I was asking that if there are Users in the AD in a group called “Group 1” and it conists of 5 users, can we make the entire “Group 1” as one user in Project Server instead of making each user in that group a user? Sorry if that is confusing! I’m still learning about this. Thanks.

      • Nenad Trajkovski says:

You can manualy put that Group1 as a user (better – Resource), and it will be Ganeric Resource (like, for instance, Developers instead of John, Mary, and Paul)

        Best Regards
